The indexation procedure

 

Basic assumptions of evaluation

•   The indexation process in the ICI Journals Master List database takes place every year.

•   Each year, a new ICV indicator is determined for the period of operation of the journal in the previous year.

•  The indexation process is free of charge.

•  A journal is submitted for indexation by sending an evaluation survey by the date specified in the evaluation schedule.

•  After the applicable deadline, journal operators who have not submitted an application (have not sent a survey) may do so via an additional journal evaluation path - the so-called Evaluation on Request.

•  Journals whose surveys contain false information are refused indexation in a given year.

Conditions for joining the evaluation

1. Having a registered journal account (so-called Passport).

2. Having a registered user account with the rights of a Representative of a given journal.

3. Sending the evaluation survey by the applicable deadline.

To check whether a journal is registered in the Index Copernicus system, enter its ISSN number on the following website: https://journals.indexcopernicus.com/search/form.

If the journal does not appear in the search results:

•  register your email address on this website: https://journals.indexcopernicus.com/app/registration/form,
•  after logging in to the system, click the "My account" button in the upper right corner and then "Add new journal",
•  complete the form by entering at least the title of the journal and its ISSN number,
•  go to the "ICI Journals Master List Survey" tab, click the "Begin filling out the questionnaire for the year (...)" button and complete the form with data on the journal's operation in the year being assessed (the survey form can be saved at any stage of its completion; the "Submit" button ” will become active when all survey points are marked green).

If the journal appears in the search results, but the Editorial Office does not have login details:

•  register a user account at: https://journals.indexcopernicus.com/app/registration/form,
•  log in to the system for the first time to activate your account,
•  write a message to journals@indexcopernicus.com, providing the newly registered e-mail address and the ISSN number of the journal (the rights of a Representative of a given journal will be granted),
•  after receiving a reply message confirming that the necessary permissions have been granted, log in to the system again and click the "My account" button located in the upper right corner of the page,
•  go to the "ICI Journals Master List Survey" tab, click the "Begin filling out the questionnaire for the year (...)" button and complete the form with data on the journal's operation in the year being assessed (the survey form can be saved at any stage of its completion; the "Submit" button ” will become active when all survey points are marked green).

 

NOTE: Once the questionnaire has been sent, the possibility to make changes in the form is irrevocably blocked. Please fill out the questionnaire carefully and send it after having ascertained that all entered data are correct.

Indexation requirements

1. Possessing:

1.1. active and up-to-date website - if a journal does not have separate website, the website of the Publisher, university with a special section dedicated to the journal may be provided.
1.2. current ISSN number - a journal may be in paper form with ISSN number, in electronic form with eISSN number or in both forms. The form does not influence a journal evaluation.
1.3.  minimum number of published research papers – min. 5 scientific articles per year and min. an average of 3 per issue.
1.4. publishing history of not less than one full year - this condition means that the Editorial office should publish as many issues as it stems from a journal frequency. If a journal was established in evaluated year, it is a quarterly journal and only 2 issues have been published so far, the evaluation will be possible in the next indexation year.
1.5.  published review procedure of research papers.

2. Confirmation of the accuracy of the data declared in the evaluation survey.

3. Compliance with standards of reliable editorial services.

Failure to meet one of the above conditions results in refusal of indexation in a given year.

Evaluation results

The evaluation results are published in September-November. All information about the current evaluation status of a given journal is visible in its Passport and is also sent to the email account of the person who is its Representative.

As a result of the assessment, journal operators, in addition to the value of the ICV parametric index determined by the algorithm, also receive feedback on the degree to which the applicable criteria have been met - the so-called Detailed Journal Evaluation Report.
