The indexation procedure

Only periodicals registered in the ICI World of Journals may undergo the indexation procedure within the ICI Journals Master List database. A special IT system has been created for managing the Journal account in the ICI World of Journals. Journals which submitted their questionnaires in previous years use the same login and password. New journals are supposed to register at journals.indexcopernicus.com.

Formal requirements

In order to submit a journal for evaluation in the ICI Journals Master List database you need to:

1. Fill in the evaluation questionnaire for the evaluated year For this purpose, you need to log in to your journal’s account at journals.indexcopernicus.com and choose the tab ‘ICI Journals Master List evaluation questionnaire’. The questionnaire consists of three sets of questions according to the scope they concern. Information submitted in the questionnaire may be saved and edited until sent. Once the questionnaire has been completely filled in, the ‘Send the questionnaire’ button in the last tab will be activated. Questionnaires should not be sent to Index Copernicus by email or post.

NOTE: Once the questionnaire has been sent, it is no longer possible to introduce any changes in the form. Fill out your questionnaire carefully and send it once you have made sure that all data entered are correct.

2. Deliver journal’s issues to the Index Copernicus’ office:

a) If a journal is published only in electronic form, the above condition may be fulfilled by:

• providing the webpage address where the whole content may be found (together with access data, if the content is not available for free) in the evaluation questionnaire
• submitting full articles in PDF format (together with metadata) published in the evaluated year to the Journal Passport. For this purpose, log in to your Journal’s account in the tab ‘Issues and contents’
• submitting full issues (from cover to cover) published in the evaluated year in PDF format after signing in to your Journal’s account in the tab ‘Issues and contents’

b) If a journal is published only in paper form, you need to send a copy of each issue published in the evaluated year to the Index Copernicus’ office (ul. Ogrodowa 10/9, 20-075 Lublin).

c) If a journal is published in both electronic and paper form, the condition may be fulfilled in one of the above ways. The confirmation of receipt of journal’s copies may be found in the tab ‘Your journals’, after signing in to your account in the ICI World of Journals database.

EVALUATION PROCESS AND RESULTS:

Once the above requirements have been met by the Editorial Office, the journal will undergo evaluation according to the ICI Journals Master List methodology. Evaluation in the ICI Journals Master List database in a standard mode is free of charge and takes place according to the order of applications; results are published in autumn. The Editorial Office is notified about the end of the evaluation process by mail. After the evaluation, you receive a notice with the Index Copernicus Value (ICV) index and a link to your Journal Passport in the ICI Journals Master List. In order to receive results within 14 days from meeting formal criteria, you may order the Evaluation On Request.

The result of the evaluation is always published in the Journal Passport at journals.indexcopernicus.com as well as in the Annual Report published in autumn, once the evaluation process is finished.

After receiving the ICV index, the Editorial Office may conclude a license agreement for using the Index Copernicus logo and order an ornate certificate which confirms the journal’s indexation in the ICI Journals Master List database for the given year. Using the Index Copernicus logo at journal’s websites indicates that it is indexed in our database and expands the international range.
